Terms of Service

These Terms of Service govern your access to and use of Guestwork, the website at guestwork.co.uk, demo services, early access services, and any related restaurant booking software we provide.
1. Acceptance of terms
By accessing this website, requesting a demo, creating an account, signing in, or using Guestwork, you agree to these terms and our Privacy Policy. If you use Guestwork on behalf of a restaurant, venue, company, or other organisation, you confirm that you have authority to bind that organisation.
2. Description of the service
Guestwork is restaurant booking software designed to help independent venues manage reservations, table allocation, room and area control, floorplans, guest records, staff day view, booking edits, cancellations, no-shows, pacing, and operational audit trails.
Guestwork is a software provider. Restaurants and venues remain responsible for their own guests, bookings, service decisions, payments, policies, staff, and compliance obligations.
3. Accounts and venue responsibilities
To use most product features, you may need an account. You are responsible for keeping login details secure, controlling staff access, removing access when staff leave, and ensuring information entered into Guestwork is accurate and lawful.
You are responsible for your venue's booking policies, cancellation policies, no-show policies, guest communications, allergy and preference notes, and any personal data you choose to store in the system.
4. Demo requests, trials, and early access
Submitting a demo request does not create a paid contract. If Guestwork offers early access, pilot access, free trials, or paid subscriptions, the commercial terms, support arrangements, service levels, and product scope may be set out separately.
5. Payment terms
If subscription fees or other charges apply, pricing will be provided before you commit to paid use. Unless agreed otherwise, fees are payable in advance and are non-refundable except where required by law or expressly agreed in writing.
6. Data usage
We collect and process personal information as described in our Privacy Policy. Where Guestwork acts as a processor on behalf of a restaurant or venue, the venue is the controller of the underlying guest, booking, and staff data. Venues are responsible for ensuring they have the legal basis required to use and share that data with Guestwork.
7. Integrations and third-party services
Guestwork may integrate with third-party services such as email providers, calendar tools, payment providers, analytics tools, hosting providers, or future booking and hospitality systems. Third-party services may have their own terms and privacy notices. Guestwork is not responsible for third-party services outside our control.
8. AI and automation
Guestwork may introduce automation or AI-assisted features in the future, such as summarising bookings, drafting staff notes, or helping with guest communication. AI-generated or automated output may be incorrect or incomplete. Venues remain responsible for reviewing important information and decisions.
9. Intellectual property
Guestwork, the Guestwork logo, software, design, website content, product screenshots, and branding are owned by Guestwork Limited or its licensors. You may not copy, modify, reverse-engineer, or reuse them except as allowed by law or with our written permission.
You retain ownership of venue content you provide, such as venue details, booking information, guest notes, floorplans, and staff records. You grant Guestwork a limited licence to host, process, display, and use that content only as needed to provide and improve the service.
10. Prohibited uses
- Using Guestwork in breach of any law, regulation, or third-party right.
- Entering personal data you do not have authority to process.
- Attempting to access another venue's data or interfere with service security.
- Reverse-engineering, scraping, probing, or disrupting the service.
- Using the service to send spam, scams, misleading content, or unlawful messages.
- Uploading malicious code or attempting to bypass authentication or access controls.
11. Availability and changes
Guestwork is being developed and improved. We may update, suspend, remove, or change features from time to time. We aim to avoid unnecessary disruption, but we do not guarantee uninterrupted or error-free availability.
12. Tax, legal, and compliance disclaimer
Guestwork does not provide legal, tax, accounting, employment, food safety, allergy, or compliance advice. Restaurants and venues are responsible for their own policies, notices, customer terms, taxes, licences, and operational decisions.
13. Limitation of liability
To the maximum extent permitted by law, Guestwork is provided "as is" and "as available". Guestwork Limited is not liable for indirect, incidental, special, consequential, or punitive losses, loss of profit, loss of revenue, loss of goodwill, business interruption, or loss caused by reliance on inaccurate venue, booking, guest, or staff information.
Nothing in these terms limits liability where it would be unlawful to do so. If a separate written agreement sets a liability cap, that cap will apply to the relevant services.
14. Termination
You may stop using Guestwork at any time. We may suspend or terminate access if you breach these terms, create security risk, fail to pay applicable fees, or if we are required to do so by law. On termination, data handling will be managed in line with our Privacy Policy, DPA, and any customer agreement.
15. Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction unless applicable law gives you mandatory rights elsewhere.
